About vacancy

Is customer service a top priority for you, but do you also look beyond today’s enquiries? Do you thrive on resolving customer queries, analysing problems and motivating colleagues to work together to achieve the best possible outcome for the customer? Would you like to develop in your role towards process optimisation? Then we’re looking for you!

The Spare Parts department currently consists of six colleagues. As Spare Parts Coordinator, you will be responsible for spare parts requests within your region. These requests may come directly from customers, or from the Service and Sales departments, or from technicians on site.

You are responsible for the entire process surrounding a request. This involves more than just processing an order correctly and quickly. You actively contribute ideas on what the customer actually needs and check that the enquiry is technically, commercially and logistically sound. You ask probing questions, resolve challenges and, thanks to your communication skills, are able to mobilise the organisation to achieve the best possible result for the customer.

In doing so, you’ll consult technical documentation and use the available information from systems, stock records and order history to arrive at the right solution. Even when you need to rely on other departments to find a solution, you take the lead. You liaise with procurement, planning, the warehouse, logistics, engineering, service and sales, and ensure that the right actions are taken. You monitor progress and raise the issue with colleagues when agreements or deadlines are at risk.

In addition, you look beyond today’s orders. You analyse recurring problems, identify inefficiencies and take ownership of the processes within Spare Parts. You seek structural improvements and challenge the organisation to continuously improve processes, planning, stock availability and collaboration.

This means you are not only responsible for processing applications, but also for achieving and improving the results.

In terms of your role, you will be analysing customer enquiries and providing advice on a day-to-day basis, whilst also proactively keeping stakeholders informed. In addition, you will be responsible for processing, coordinating and monitoring all spare parts orders. You will identify parts and assess technical information. You will check and adjust lead times and availability, whilst monitoring stock levels and taking appropriate action. You will also coordinate dispatch and logistics, and ensure that returns are processed correctly and on time.

As you progress in your role, you will therefore be given increasing scope to consider the optimisation of processes across the board. Some of the many topics include:

    • Spare Parts Portfolio Management; managing and optimising the spare parts portfolio
    • Supply & Planning: improving availability, planning, lead times and forecasting
    • Logistics: optimising stock flows, warehouse processes and transport
    • Procurement: improving supplier performance, availability and lead times
    • Lifecycle Management: managing spare parts throughout their entire lifecycle, from introduction to phase-out
    • Spare Parts Packages; developing and improving spare parts packages for customers
